Basware Business Transactions is a monitored transfer and conversion service for sending and receiving electronic invoices and other electronic documents such as purchase messages.  The service formats and routes invoices between sender and recipient, converting the documents automatically to the recipients’ preferred format. Currently less than 10% of all B2B invoices in Europe are transmitted electronically. According to independent research institution Billentis, e-invoicing volumes are expected to grow by 37% in Europe in 2010. Correspondingly in the US, research company PayStream Advisors estimates that the number of electronic invoices traded within the US will overtake paper invoice volume by 2011. The recent volcanic eruption in Iceland and resulting air travel disruption caused by the ash cloud is a great example of the problems that can arise unexpectedly, causing disruption to ¬business processes.
Paper invoices were not able to be delivered via air, delaying processing and subsequent payment – putting the whole payment cycle behind, and many businesses had to wait for stranded employees to return to work to be able to process approvals. E-invoicing negates this issue, as everything is controlled electronically, so invoices can be received and processed in real-time. Recently, Toshiba announced a 75% drop in invoicing costs by shifting to an electronic sales invoice process with Basware – demonstrating just how much of an effect e-invoicing can have on the bottom line.

OB10 highlighted figures from a successful 2009 with the signing of a number of new customers, including 14 new global corporate customers, a significant increase in the number of suppliers on its network and a 65 percent increase in daily network transactions – all resulting in an increase in revenue of more than 40 percent. The increase in revenue is particularly impressive in light of overall industry growth of only 1 percent in 2009 (see also OB10).

Benefits
As stated in the 2010 PayStream Advisors Survey Report, the biggest benefit of automating the invoice receipt process is fewer lost or missing invoices, according to an overwhelming 58 percent of companies [participating in the survey]. Reuse before buy, buy before make
The EEI Platform is a convinced believer of this formula. Why not reuse what is already available.

For instance SEPA International presented its “E-invoicing Guide for SME’s” (which more targeted on Medium Sized Enterprises and Developers of financial software though). It is a starting-guide-on-e-invoicing-ish. The EEI Platform will publish it next week on its website.

And in its publication, SEPA International presents some of the findings from a SME questionnaire that the EC Expert Group sent out in 2008. But maybe a broader and more profound survey would also be welcomed.

So the EEI Platform will try to incorporate as much material as possible (and allowed) to enhance the impact of the results, before developing proprietary instruments.

Ryan Harvey, finance manager at Tesco’s service centre in Bangalore said that Tesco’s existing invoicing process has too many points of failure The company has switched to an e-invoicing service provided by OB10.

“This is because as all invoices are currently scanned from the UK and keyed in Bangalore and so the data integrity and control that OB10 brings is crucial.”

“We are also a growing international business and a key requirement was for a solution that we could scale across our Group in the future without significant growth to the Accounts Payable team; OB10 meets this requirement.”

E-invoicing basics
E-invoicing is an alternative to Electronic Data Interchange (EDI) as a method of dealing with supply payments electronically.

E-invoicing uses the internet to connect businesses with their suppliers and automates the processing of invoices in accounting systems. It speeds up payment times, improves the information in ERP systems, reduces the human resources required and eradicates inputting errors. It also cuts postage costs and reduces waste paper.

The technology is moving to the mainstream as the European Commission pushes it as part of its drive to cut costs in supply chains. The Corporate Action on Standards project, set up by the European Payments Council, said that e-invoicing allows companies to cut the average EUR30 cost of processing a paper invoice by 80%.

In 2007 logistics company DHL rolled out e-invoicing across Europe, and expects to save millions of pounds by reducing billing costs by at least 15% across the region.

Today we release the new EEI Platform. We think of it as EEI Platform 2.0, because of all the improvements and alterations. So, why did we re brand our online platform and what changes have been made?

Some figures
Version 1.0 of the EEI Platform was released in November 2008. Up until now we welcomed over 100.000 visitors on our website and throughout our social networks and we can see an increase in visits.

We have sent out 15 e-mail newsletters to a steadily growing population of around 1.000 e-mail subscribers from over 45 countries worldwide.

We now retrieve information from over 145 online and offline resources and posted it at all kinds of Web 2.0 platforms, such as: LinkedIN, SlideShare, Youtube, Twitter, Facebook, FriendFeed and Google News. We have also facilitated RSS subscribers and affiliate linking possibilities using Ping.fm. And we’ve connected quite a lot of people using these very same social networks.

All in all an enormous effort to fulfil our objectives: transferring knowledge, building networks, sharing information and promoting interests.

Why change? Evaluation after 10 months of EEI Platform
So, why change? Most of all because we believe that the EEI Platform should always be looking for ways to fulfil its objectives as efficient and effective as possible.

Our experiences in using Web 2.0 instruments at the EEI Platform the last ten months have lead to some interesting conclusions:

• We strongly believe that Web 2.0 tools are key drivers for the operation and development of the EEI Platform.
• We also believe that Web 2.0 can play a significant role in the development of the European E-invoicing Marketplace.
• In a connected world it is no longer sufficient to force your target group to come towards you for information. Instead ,they increasingly demand that information is brought to them. In short: a trend towards the push of dedicated information to each individual.
• Comments on content made by community members in all social networks should preferably be aggregated and displayed into a single publicly available stream.
• It should be possible to subscribe as a member of the EEI Platform using login information created at other social networks: Single Sign On.

Changes
Taking these conclusions into account we have changed the look and feel the EEI Platform. The entire list of changes and improvements is too long and boring to display here.  However,  some adaptations are worth mentioning:

• Information on e-invoicing is now supported with visuals, making it more attractive to read through
• Members have become more visible in the members section
• Members have become authors of the information they distributed to the EEI Platform. Information is automatically added to their profiles
• The EEI Platform allows non-members to post information on the website and e-mail newsletter on a pay-per-use basis
• The EEI Platform allows members and non-members to use the online platform for advertising and sponsor purposes
• The technical platform has been prepared for the integration of the EEI Community: a theme specific social network on e-invoicing (to be released within a few weeks!)

We will experience a direct cost reduction because of a decrease in paper usage, printing and handling. Indirectly we will experience faster customer payments as our customers have immediate and direct access to their invoices and related information. This also enables our customers to invoice their customers even faster. The extra benefits for our customers are the easy access to information as they can view invoices from any location and have an online archive for the complete legal period”.

The e-Invoicing application includes a management console that is especially developed for Multi Service Europe to monitor all web actions of the customers. Authorized employees can access the online archive and create and manage user accounts for the e-Invoicing application.

Rutger Gassner concludes: “The e-Invoicing solution is an important step for Multi Service Europe as we can present our invoices immediately throughout Europe. We chose to work with Anachron as our service provider because of the extended experience with e-Invoicing in Europe.
